1 Statement of Intent
EfficientGrids OÜ is committed to preventing injury and ill‑health arising from its activities and to creating a safe working environment for all persons affected by its work. We comply with the Estonian Occupational Health and Safety Act, the UK Health and Safety at Work etc. Act 1974 (where applicable), and relevant EU directives. Our objective is zero harm, achieved through sensible, proportionate controls. EfficientGrids maintains Professional Indemnity and General Liability insurance to protect clients and third parties.
2 Scope
This policy covers all activities undertaken by EfficientGrids OÜ, a single‑person consultancy providing remote, desk‑based power‑systems engineering services. No physical site works are undertaken. When visiting client premises, the relevant client safety rules will apply and be abided by.
3 Responsibilities
Director (Thomas Milner) – will hold overall responsibility for health and safety performance.
Carry out suitable and sufficient risk assessments for all work activities.
Implement controls, including ergonomic workstation set‑up and lone‑working procedures (e.g. Annual DSE self-assessment).
Review this policy annually or following significant change.
Have a first aid kit in home office.
Have smoke alarms, carbon monoxide alarms and a fire extinguisher in home office.
4 Arrangements
Risk assessment – documented assessments for workstation ergonomics, screen‑time fatigue, data security and travel.
Lone working – regular check‑ins with client contacts when working from remote locations.
Stop-Work Authority: Any person engaged by EfficientGrids may halt work immediately if conditions are unsafe.
Incident reporting – any incident or near miss logged within 24 hours and reviewed for corrective action. Target: zero recordable incidents per year.
Training & competence – maintain professional competence through CPD and follow client safety standards when undertaking design work.
Well‑being – reasonable working hours, regular breaks and an ergonomically sound home office.
Health: promote health in all forms for example regular exercise, good nutrition, regular sleep patterns. meditation.
5 Review
This policy is reviewed annually or sooner if legislation, work scope or best practice changes.

4 Implementation
Require that any subcontractors or collaborators adhere to equivalent equality standards.
Keep records of any complaints or incidents and actions taken.
Include equality and diversity considerations in risk assessments when relevant.
Grievance: “Concerns about discrimination can be raised directly with the Director and will be investigated within five working days.
Reasonable adjustments: EfficientGrids will make reasonable adjustments to accommodate disability or caring responsibilities.
5 Review
This policy will be reviewed annually or sooner if required by changes in law or business operations.
